You wish to publish a new opportunity but your university, institute or laboratory is not an existing organization? You can request a new organization to be able to publish your projects on our platform.
Request a new Organization
Before you request a new organization, make sure to search your institution and avoid double creation!! If you find your institution sorted in the wrong subtree please contact support, the same applies if your institution has been renamed or consolidated with other organizations!
Check if your organization exists
To check existing organizations, click "search organization" on the sidebar-menu. You can now either search with the full-text search or search for parts of the URL.
Remember:
To publish opportunities, you need to affiliate your account with your institution in the role of an “Opportunity publisher”.
If you are sure your organization does not exist you can request it as it will be described in this article. These requests are approved by the responsible partent-institutions manager or by any SiROP admin (especially if you request a new university).
This approval might take some processing time, so please be patient.
Create new organization
If the required institution does not yet exist, you can create a new organization by logging in and selecting "create new organization" from the sidebar-menu.
Check institution’s URL
Enter the complete homepage URL of the new suggested organization (in the form http://www.institute.university.com). If the organization already exists, it will now appear, and you can affiliate yourself with it instead.
Choose parent organization
The organization you wish to create might be part of a bigger organization, such as an institute, a department ect. Please specify the correct immediate parent organization (means the one organization above yours) using “Search by text” and select the parent organization.
Click on name of institution in red (if the organization is not red, it means it is not choosable). If you want to browse through the organization instead, use the arrow next to the name of the institution to expand the underlying sub-organizations.
If your organization is no sub-organization but a new top-level organization (e.g. new university), you can suggest it as a new root organization by clicking “OK, suggest as new root” at the bottom of the form.
Once a parent organization is selected you won’t be able to go back. If the wrong organization has been chosen start over by clicking "create new organization" on the sidebar.
Provide institution details
Provide some basic information about the organization which you wish to be created. Try to be as accurate as possible. SiROP offers the whole content in German and in English, it is however optional to provide the information in both languages. If you choose to provide the information only in one language, the written content will be used for the other language as well (eg. the information is only in english even with changing the site to german the information will stay english and will not be translated.).
While completing the form you will be ask to select a country of origin. The selected country is supporting the browsing functionality for visitors. If none applies choose the blank entry.
The email-domain is used for auto-affiliation for seekers subscribing with an email address belonging to this domain. This is NOT a mandatory field, if left blank, the domain of the previous selected parent organization will be used.
NOTE: The Homepage is a mandatory field, without a valid URL you won't be able to create an organization. If you do not have a website yet, use the URL of your top level organization and change it later.
Add images (optional)
After entering the basic information, you'll get to the summary screen, where you will have the possibility to upload Images like institution’s logo, flyers or artwork, when you publish an opportunity without an image of its own or someone looks up your organization, this uploaded image will be displayed.
Confirm request
The summary screen further is there for you to check if your request is correct (informations, typos). If so submit it.
Wait for confirmation email
A new workflow-job is created with the responsible manager as assigned user. This manager, as well as the SiROP admins, will receive an email with your request and will need to confirm it. As soon as your organization is confirmed, you will receive a confirmation email, the organization is created and is ready to be affiliated with.
